Other web services we use

We use the following web services to contact our subscribers and gather statistical information on user behaviour to allow us to improve our services:

Gmail; is our email provider with company email addresses administered by the Technical team and Data Protection Officer using G-Suite. Email data and contents are stored in a Google data center (sic) and may also be stored on company computers under multi-layered password protection, in addition to being accessed by employees on mobile devices under Source’s BYOD (Bring Your Own Device) policy.

For ease of administration and secure deletion emails are kept in designated email folders, which store information that can identify personal details, which may include:

Google Analytics; allows us to gather and store statistical information about our website visitors behaviour whilst it can identify the users country and IP address it does not store any information that would, on its own, allow us to identify individual users of this service.

Hotjar; provides us with visual data on our website’s user behaviour through heat mapping, whist it can identify the users country and IP address it does not store any information that would, on its own, allow us to identify individual users.

However, text and other data submitted to individual website forms may be visible as part of the screen capture process, therefore Source’s policy is to utilise ‘On-Page’ and other ‘Suppression’ options to ensure that text data inputs cannot be retrieved when the data is sent back to HotJar’s servers.

Hubspot; is used as our database system and allows us to maintain contact information in addition to a log of any client conversations and instructions to allow us to undertake our enquirers, or clients, wishes and execute subsequent contractual obligations.
